Hello! This page explains what personal information we collect, why we need it, who helps us look after it and what your rights are. We keep as little as we can, handle it carefully and never sell it. If anything here is unclear, just ask.
Who we are
Emerald Photo UK is run by Eszter Szalai, a sole trader based at 423 Filton Avenue, Bristol BS7 0LH. Eszter decides how your information is used. That makes us the “data controller” under UK data protection law. You can reach us at emeraldphotouk@gmail.com or on 07493 299923.
George, who sometimes assists on the day, only sees what he needs for the shoot, such as timings and the location.
What we collect
Sometimes you might tell us something more personal, for example health details before a maternity or newborn session, or accessibility needs. We only use it to keep you safe and comfortable, keep it no longer than we need, and never share it.
You don’t have to give us your details, but without them we can’t reply, book your shoot or deliver your photos.
Why we use it
We never make decisions about you by computer alone.
Your photos
- Your photos are private by default. Your gallery has its own private link, and we only share it with you.
- We only share your photos in our portfolio, on social media or anywhere else if you tick the box in your contract. If you don’t, they stay private.
- Changed your mind? Just tell us. We’ll stop using your photos and remove what we reasonably can, although things already printed or published can’t always be taken back.
- We’ll only send your photos to your wedding suppliers, like your venue or florist, if you’re happy for us to.
- Were you a guest at a wedding or event we photographed? If you’d rather not appear in anything we share, tell us on the day or email us, and we’ll keep you out.
- We never sell your photos.
Children
We only photograph children with a parent or guardian there and with their permission. Photos of children are only shared if their parent or guardian agrees. Our newsletter and contact form are meant for adults, and we don’t knowingly collect details directly from children.
Who helps us
A few trusted companies help us run the business. Most of them only use your information to do their job for us. Google and Meta also use cookie data under their own privacy policies, which is why those cookies only switch on if you say yes.
We also keep records for HMRC, and we may share information with our insurer or a legal adviser if we ever need help with a claim. We’ll only share it with the police or courts if the law requires us to. We never sell your information or pass it on for anyone else’s marketing.
Information outside the UK
Some of these companies store information outside the UK, for example in Australia (Studio Ninja) or the USA (Google, Meta, Stripe, Dropbox and Mailchimp), and Pic-Time may also store data outside the UK. When that happens, the law requires extra protection, so they use UK-approved safeguards such as the UK–US Data Bridge or the UK’s International Data Transfer Agreement. Ask us if you’d like more detail.
How long we keep it
Keeping it safe
We use strong passwords and two-step login wherever it’s offered, only use trusted providers, and store our backup drives securely. If something ever went wrong, we’d act quickly, and tell you and the ICO whenever the law requires.
Your rights
You have the right to:
- Ask for a copy of the information we hold about you
- Ask us to correct anything that’s wrong
- Ask us to delete your information
- Ask us to limit how we use it
- Object to how we use it, including stopping marketing emails at any time
- Ask for your information in a format you can take elsewhere
- Withdraw your consent at any time, for example for portfolio use or our newsletter
Just email us at emeraldphotouk@gmail.com. It’s free, and we’ll reply within one month. We may need to check it’s really you first. Some rights have limits; for example, we have to keep invoices for HMRC.
Cookies
Our website only uses statistics and advertising cookies if you say yes. You can change your choice at any time with the Cookie settings link at the bottom of every page. Read more in our Cookie Policy.

If you’re unhappy with how we’ve handled your information, please tell us first at emeraldphotouk@gmail.com and we’ll do our best to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
Changes to this policy
We’ll update this page whenever the way we work changes, and update the date at the top. If it’s a big change, we’ll let our clients know.
